Log in, enter the company name or CIN, solve the captcha, and the portal shows the company’s status, CIN, incorporation date, capital, last AGM and balance sheet dates, charges, and directors.

That record is India’s public birth certificate for a company, and it is widely misread. “Active” does not mean operating, and a clean record can belong to a company that exists only on paper.

This guide covers the current search steps, what each master data field means, the signals that suggest a company is not genuine, and where MCA data stops being enough.

How to do an MCA company search on MCA21 V3

The Ministry of Corporate Affairs moved company services to the MCA21 V3 portal, which uses a single user login. At the time of writing, detailed master data sits behind a free registered-user login.

Go to www.mca.gov.in and sign in (register as a user if you do not have an ID).

Open MCA Services in the top menu, then Master Data.

Select View Company/LLP Master Data.

Search by company name or enter the CIN (or LLPIN for an LLP).

Complete the CAPTCHA and submit.

Open the matching record; use the tabs for charges and directors/signatories.

Name search returns every company containing the words you typed. Copy the CIN from the result and use it as the identifier from then on: names can be near-identical, CINs cannot.

Decoding the CIN

The Corporate Identification Number is a 21-character code assigned at incorporation. Each part carries information you can check against the rest of the record.

Characters

Meaning

Example

1

Listing status: L (listed) or U (unlisted)

U

2-6

Industry code (NIC)

72200

7-8

State of registration

MH, KA, DL

9-12

Year of incorporation

2019

13-15

Ownership type, such as PTC (private), PLC (public), OPC, GOI, NPL

PTC

16-21

Registration number from the ROC

123456

A “U” CIN claiming to be listed, or a year contradicting the incorporation date, is worth investigating.

What each master data field means

Identity and classification

Company name and CIN: the legal identity. Match this against invoices, GST and bank records.

ROC: the Registrar of Companies with jurisdiction.

Category, sub-category and class: for example, company limited by shares, non-government company, private.

Date of incorporation: the company’s age, which feeds directly into credit and merchant risk.

Capital

Authorised capital: the ceiling the company may issue. It costs fees to raise, but it says nothing about money actually invested.

Paid-up capital: what shareholders have actually paid in. The Companies (Amendment) Act, 2015 removed the minimum paid-up capital requirement, so a figure as low as Rs 10,000 or Rs 1 lakh is legal. It is a signal, not a violation.

Compliance dates

Date of last AGM: when shareholders last met.

Date of balance sheet: the period end of the latest financial statements filed.

If the balance sheet date is several years old, the company has not filed recent accounts. That gap is often more telling than the status field.

Charges

Section 77 of the Companies Act, 2013 requires companies to register charges (security created for loans) with the ROC. The charges tab shows lenders, amounts, and whether each charge is open or satisfied. An open charge in favour of another lender matters when you plan to take security over the same assets.

Directors and signatories

The directors tab lists each director’s name, DIN and appointment date. Under section 164(2), a director of a company that has not filed financial statements or annual returns for three continuous financial years is disqualified from reappointment for five years. A director’s other companies, visible through their DIN, often reveal more than the company itself.

Company status values explained

Status

What it means

Onboarding implication

Active

Registered and not under removal or winding up

Necessary, not sufficient

Under process of striking off

ROC has begun removal proceedings under section 248

Do not onboard without clarification

Strike off

Name removed from the register

The entity cannot lawfully transact

Dormant

Obtained dormant status under section 455 for future use

Should not be trading

Amalgamated

Merged into another company

Deal with the successor entity

Under liquidation

Winding up in progress

Do not onboard

Section 248 lets the ROC strike off a company that has not commenced business within a year of incorporation or has not carried on business for two immediately preceding financial years without applying for dormant status. Many shell entities end up in this category, which is why the date fields matter even when the status still reads “Active”.

Red flags that a company may not be genuine

No single field proves a company is a shell. A cluster of the following should trigger enhanced checks:

Very low paid-up capital paired with large transaction claims, such as a Rs 1 lakh company asking for a Rs 50 lakh working capital line.

No recent filings: an old balance sheet date or missing AGM date.

Recent incorporation with immediate high volume, common in merchant and mule-business fraud.

Address clustering: many companies registered at the same address, often a CA or virtual office.

Director churn: directors resigning and being replaced within months, or the same DINs across dozens of unrelated companies.

Industry mismatch: a software-consulting NIC code on a company trading in metals.

No operating footprint: no GST registration, no website, no verifiable phone or email domain.

These patterns overlap with what we covered. The goal is to decide which companies need a human review, not to accuse.

The limits of MCA data on its own

MCA master data is declarative and periodic. It tells you what the company filed and when, but not whether it is trading today. A company can be compliant on paper and inactive in reality, or genuinely active and late with filings.

It also covers only companies and LLPs. Proprietorships and most partnerships, which form a large share of India’s small businesses, have no MCA record at all.

Cross-checking with GST and Udyam

The practical fix is triangulation:

GST: confirms the business is registered for indirect tax and shows filing regularity. The PAN inside the GSTIN should match the company’s PAN.

Udyam: confirms MSME registration and classification, useful for priority sector and scheme eligibility. Our piece explains how these identifiers link.

Bank account: the account name should match the legal name in MCA records.

When legal name, PAN, and address agree across MCA, GST, and Udyam, confidence rises. When they diverge, the divergence is the finding.

Verifying companies at scale for your business

A team reviewing a few companies a week can work from the portal. At volume, manual MCA company search hits CAPTCHAs, login sessions, and no audit trail.

Production KYB flows pull MCA data by CIN through an API, compare it automatically with GST and Udyam, and route only the exceptions to analysts. Our guide covers the technical integration.

Where BeFiSc fits: BizCheck is BeFiSc’s business risk report, which combines GST, MCA, Udyam, and digital footprint signals in about 60 seconds. Instead of checking each portal separately, your team sees company status, registration details, and cross-source mismatches in one report. Request a free BizCheck report on a company you are evaluating.

You can see the report structure on the BizCheck page.

Key Takeaways

MCA company search on MCA21 V3 requires a login; search by name, then switch to the CIN as the identifier.

The CIN\\ encodes listing status, industry, state, year, and ownership type, which should agree with the rest of the record.

“Active” status is a minimum condition; balance sheet and AGM dates show whether the company is actually compliant.

Shell-company risk shows up as a cluster: low paid-up capital, stale filings, shared addresses, director churn, and no operating footprint.

MCA data does not cover proprietorships and does not prove current trading; cross-check with GST, Udyam, and bank account name.

At scale, MCA checks belong in an automated KYB flow with exception review and an audit trail.

Frequently Asked Questions

Can I search a company on MCA by director name?

The master data search works by company name or CIN. To see a director’s other companies, use the DIN shown in the directors tab with the director master data option on the portal. Linking DINs across companies is one of the most useful ways to spot shell networks.

What does “Strike Off” mean on the MCA portal?

It means the Registrar has removed the company’s name from the register, usually under section 248 of the Companies Act, 2013, for not carrying on business or failing to file. Cross-check its name and PAN against GST registration and the bank account it uses.

Is MCA company search free?

Viewing company master data on mca.gov.in is free, though the V3 portal currently asks you to register and log in. Downloading certified copies of filed documents and viewing public documents in detail carry government fees. For routine status, CIN, and director checks, the free master data view is sufficient.

Conclusion

An MCA company search answers the first question in any business relationship: does this company legally exist? Read carefully; master data also hints at the second: is it a real, operating business?

The teams that get this right treat MCA as one source in a set, read the dates and director links rather than just the status line, and automate the cross-checks so that analysts spend their time on the exceptions.

<a
